Bulk-Importing Customers
If you have a large number of customers to add — for example, migrating from another system — you don't need to enter them one at a time. SecurityTrax can bulk-import them from a spreadsheet.
How it works
- Download the customer import template.
- Fill in one row per customer, following the column guide below.
- Send the completed file to SecurityTrax support.
SecurityTrax staff will run the import and let you know once it's complete.
Heads up. Each row you send creates a new customer record — the import doesn't check whether a matching customer already exists. If you're resending a corrected file, tell SecurityTrax support which rows were already imported so they don't get added twice.
About the template file
The template has two tabs:
- ColumnDefinitions — explains what each column means. Use this as your reference while filling out the second tab.
- ImportTemplate — where you enter your customer data. The first row is a note; your column headers are on row 2, and your customer data starts on row 3. Don't rename, reorder, or delete any columns — SecurityTrax reads the file by column name.
Fields shown in red on the ColumnDefinitions tab are required. If you don't want to fill in an optional field, leave the cell blank rather than deleting the column.
Required fields
| Field | Type | Notes |
|---|---|---|
fname |
Text | Customer's first name. |
lname |
Text | Customer's last name. |
phone1 |
Phone number | Digits only — no parentheses, dashes, or spaces. |
city |
Text | Customer's city. |
state |
Text | Capitalized 2-letter state code (e.g. AZ). |
rep_id |
Number | The ID of the sales rep for this customer. Ask SecurityTrax support if you don't know a rep's ID. |
sale_date |
Date | Format yyyy-mm-dd (e.g. 2026-03-24). |
is_installed |
Text | Must be exactly true or false. |
location_id |
Number | The ID of the office location this customer belongs to. Ask SecurityTrax support if you don't know your location IDs. |
Optional fields
The remaining ~50 columns — spouse, additional phone numbers, address
details, sale term/rate/activation fee IDs, cancellation info, monitoring
company and plan, alternate billing address, tags, and more — are all
optional. Leave any you don't need blank. The ColumnDefinitions tab in
the template describes every one of them, including formatting notes for
dates (yyyy-mm-dd), phone numbers (digits only), and true/false fields.
