Payroll Roles

Requires. Payroll with View to open Payroll roles. The role detail page shows New Role Function only when you can create payroll records. Editing or deleting role functions, levels, and rows requires the matching Modify or Delete grant.

Payroll roles are the top level of the payroll setup. A role represents a kind of pay plan, such as a sales rep, install tech, lead rep, or manager override. Users can hold more than one payroll role.

Open Administration -> Payroll -> Roles to review the available roles. Select a role card to open that role and see its functions, levels, and pay calculation counts.

Role list

The Roles page lists each active role as a card. Each card shows the role name and how many functions are attached to it. If a role has no functions, it can still be assigned later, but it will not produce payable entries until functions and levels are configured.

Role detail

The role detail page lists the active functions inside the selected role. Use this page to answer these questions before changing payroll:

  • Which event or work type can generate pay for this role?
  • Which list method finds the possible payee?
  • How many levels are configured under each function?
  • Which functions have calculation rows configured?

Select a function name to edit that function. Select New Role Function to add a new function to the role.

Assigning roles to users

User assignments can be reviewed from the user record, and user-level assignments can also be changed from a payroll level when the function's payee entity type is user. Open Administration -> Users, select a user, then use the user's Payroll Roles area to review the role, function, and level assigned to that user. On the level page, use Assigned Users to add or remove users from that specific level.

Changing a user's assigned level affects which level is used for future payable generation. It does not rewrite payable entries that already exist.

Troubleshooting

Symptom What to check
A role appears but no pay is generated Open the role and confirm it has active functions, active levels, and payable rows.
A user is not paid under this role Confirm the user is assigned to the role and to the correct level for the function.
The wrong person is paid Review the function's list method and each row's Pay To setting.
The role or function is locked Some older payroll rules are managed by the SecurityTrax Team and cannot be edited from Payroll Admin.
