Account Management
Requires. Account Management with View to open Account Management. Managing billing methods, paying invoices, and enabling or disabling add-ons requires Account Management with Modify.
The Account Management area is about your company's SecurityTrax subscription — not about the customers you serve. It's where you review what your company is paying SecurityTrax each month, update the payment method SecurityTrax charges, enable or cancel optional add-on features, and download past invoices from SecurityTrax.
Three sections appear in the left navigation:
- Billing Methods — payment methods SecurityTrax can charge for your company subscription.
- Invoices — invoices from SecurityTrax to your company, with download and pay actions when available.
- Add-ons — optional features you can enable or disable.
Getting here
- From the Admin index, click Account Management in the Organization section.
- Or navigate directly to
https://portal.securitytrax.com/{your-company}/admin/account-management. The bare route redirects to Billing Methods by default.
Also distinct but related: Billing Admin — company-wide billing defaults for your customers (not for your SecurityTrax subscription). See Billing Admin for that.
Billing Methods
Route: admin.account-management.billing-methods.
This section shows the payment methods on file for your SecurityTrax subscription. These are the cards or bank accounts SecurityTrax can charge for your company's SecurityTrax account.
Payment methods
Each method on file shows:
- Type (credit card, ACH).
- Last 4 digits (card or account).
- Expiration (card only).
- Default status — which method gets charged next.
- Actions — Make Default, Remove.
Add a new one via + Add Payment Method.
Users with Account Management View can see billing methods. Users with Account Management Modify can add payment methods, make a method the default, and delete non-default methods.
Invoices
Route: admin.account-management.invoices.
This section lists invoices from SecurityTrax to your company.
Each invoice row:
| Column | What it shows |
|---|---|
| Invoice date | When SecurityTrax charged you. |
| Amount | Total charged. |
| Status | Paid / Pending / Failed. |
| Actions | Download PDF — gets the invoice PDF via a signature-validated URL (admin.account-management.invoice.download). |
Forward downloaded PDFs to your accounting team for their records. Users with Account Management Modify can pay unpaid invoices when a payable balance and payment method are available.
Add-ons
Route: admin.account-management.add-ons.
A catalog of optional SecurityTrax features your company can enable or disable. This page is visible to users with Account Management View. Each card shows:
- Name and description.
- Pricing (per-seat or flat).
- Current state: Enabled or Disabled.
- A Learn More link to the add-on's documentation.
- Enable, Disable, or Configure actions when your user has Account Management Modify and the action applies to that add-on.
Common add-ons include Message+, Invoice+, Payable+, Inventory+, eDoc+, Consumer Financing, Credit Checks, and QuickBooks. The exact set can vary by company configuration.
Step-by-step: enabling an add-on
- Go to Admin → Account Management → Add-ons.
- Find the add-on you want.
- Click Enable.
- A confirmation prompt appears (add-ons have billing implications).
- Confirm. The add-on enables, and the next invoice from SecurityTrax includes the new charge.
Credit Checks add-on
Enable Credit Checks when your company needs to run customer credit checks or configure credit bureau providers.
- Go to Admin → Account Management → Add-ons.
- Find Credit Checks.
- Click Enable.
- Read the billing confirmation.
- Click Confirm.
After Credit Checks is enabled, go to Admin → Integrations → Credit Bureaus to add or manage bureau providers. If Credit Checks is disabled, SecurityTrax hides the New Credit Bureau button and bureau list.
Step-by-step: disabling an add-on
- Same navigation.
- Click Disable on an enabled add-on.
- Confirm.
- The add-on turns off immediately, and your company no longer has access to that feature.
Warning. Disabling an add-on doesn't delete the data collected while it was enabled; SecurityTrax retains that data in case you re-enable later. But new data collection stops. If the add-on provides integrations your team relies on (QuickBooks sync, for example), expect disruption as soon as the add-on is disabled.
Invoice download
The invoice download action on each billing-invoice row uses a signed URL (admin.account-management.invoice.download) that's valid for a short time. If the link expires before you click, refresh the page to get a new one.
Non-obvious behaviors
- Your SecurityTrax subscription is separate from your customers' billing. Don't confuse this page with Billing Admin (customer-facing billing settings) or your customers' Accounting data. They're three different things.
- Updating payment method doesn't trigger an immediate charge. It applies to the next scheduled billing date.
- Some controls require modify access. If you can see Account Management but cannot add payment methods, pay invoices, or enable and disable add-ons, your user likely has Account Management View but not Account Management Modify.
