Customer List
Requires. Customers with View on at least one location. Without it, this page returns a 403 and the Customers icon is hidden from the top navigation.
The Customers screen is the main entry point for every customer-facing task in SecurityTrax. It shows a paginated table of every customer you have permission to see, a set of filters for narrowing the list, shortcuts back to records you've looked at recently, and a button to start a brand-new customer. You'll spend more time here than almost anywhere else in the app, so it's worth learning how it works once.
Getting here
- Click the Customers icon (the silhouette-of-a-person icon) in the top navigation bar.
- Or navigate directly to
https://portal.securitytrax.com/{your-company}/customers.
The toolbar
A row of controls sits at the top of the page:
- Filter button (funnel icon, top-left) — opens the filter flyout described below. The funnel shows a colored dot when any filter is active.
- Clear — only appears when at least one filter is set; removes all filter criteria but keeps your sort and per-page settings.
- + New Customer (top-right) — opens the standard new-customer form (see Home → Creating a new customer).
- ▼ chevron next to New Customer — only appears if your company has one or more workflow-driven customer creation flows configured. Clicking it opens a menu titled "New from Workflow" listing each available workflow. Picking one launches the wizard version of customer creation. The same split button also appears at the top of the create page until the new customer is saved, so you can switch start paths if you picked the wrong one.
Just below the toolbar is the heading "Customers" and, if results span more than one page, pagination controls on the right.
Recently viewed
Above the results table, a small row labeled "Recently viewed" shows links to up to a handful of customers you've opened recently. Click any of them to jump back. This list is your own — it's based on the customers you have opened, not anyone else.
Filters
Click the funnel icon to open the Find Customers flyout. It's divided into sections, top to bottom:
Sort & per-page
Always the first section of the filter flyout.
| Field | Type | Notes |
|---|---|---|
| Sort by | Dropdown | Pick the column to sort the results by. Options include ID, Sale Date, Name, Address, Email. Each option also has an ascending/descending variant. The default is whatever your company set as its preferred list order. |
| Per Page | Select | 10, 25, or 50. Controls how many rows each page of results shows. Defaults to 25. |
Sort and per-page changes require clicking the Submit button at the bottom of the flyout — they don't apply live.
Date ranges
Two optional date ranges:
| Field | Type | Notes |
|---|---|---|
| Created Date — From / To | Date picker | Narrow to customers created within a window. Leave either side blank for an open-ended range. |
| Sale Date — From / To | Date picker | Narrow to customers sold within a window. Same rules. |
Text searches
| Field | Type | Notes |
|---|---|---|
| Search by ID, account number, phone, or SSN | Number | Labeled as the one-field-multiple-meanings search. Type a customer ID, a full or partial account number, a full or partial phone number, or an SSN fragment — SecurityTrax searches all four fields at once. Numeric only (the placeholder says "Numbers only..."). SSN is stored encrypted but this search can still match it. |
| Account Number | Text | Partial match. Use when you want an account-number search only. |
| First Name | Text | Partial match. Combine with Last Name for best results. |
| Last Name | Text | Partial match. |
| Business Name | Text | Partial match. Populated on commercial accounts. |
| Business Contact | Text | Partial match on the contact name for a commercial account. |
| Text | Exact match on the customer's primary email address — enter the full address. |
Source & campaign
| Field | Type | Notes |
|---|---|---|
| Source | Multi-select pillbox | Filter by one or more sources (the company, channel, or referral path that brought the customer in). Searchable. |
| Source Campaign | Multi-select pillbox | Filter by one or more source campaigns. When a single source is selected, options narrow to that source's campaigns; when multiple (or no) sources are selected, all campaigns are shown with the source name prefixed. Changing the selected sources automatically removes any campaigns that no longer belong to the selection. |
Tags
| Field | Type | Notes |
|---|---|---|
| Tags Operator | Dropdown | Controls how selected tags are matched: Has any of (default), Has all of, Does not have any of, Does not have all of. |
| Tags | Multi-select pillbox | Pick one or more customer tags to filter by. Searchable. Results are filtered according to the operator above. |
Archive status
| Field | Type | Notes |
|---|---|---|
| Archive Status | Dropdown | Controls whether archived customers appear in the results. Options: All (default — shows every customer including archived), Active Only (hides archived customers), Archived Only (shows only archived customers). |
Filter behavior
- Every active filter is reflected in the URL (e.g.
?last_name=Doe&per_page=50), so you can bookmark or share a filtered view. - Filters persist in your session — navigate away and back, they're still there. Use Clear on the toolbar to reset everything except your current sort and per-page setting.
- Click Submit at the bottom of the flyout to apply; changes inside the flyout are not live.
- If a search returns exactly one customer, SecurityTrax auto-redirects you to that customer's record, skipping the list. Great when you know who you're looking for.
Heads up. Some companies enable a "browse mode" that hides the customer list until you submit a search. If your list looks blank on first load and the page suggests you need to search, that's what's happening — your company has a large customer base and the default is "type something first." Just submit the filter (even with no criteria) to see all customers.
The table
Columns are configurable by your company, so yours may show more or fewer than the list below.
Always shown:
| Column | Notes |
|---|---|
| ID | The internal SecurityTrax ID for the customer. |
| Sale Date | When the customer was sold. |
| Name | Last-name-first. Click to open the customer's Home page. |
| Address | City and state (click to open the record on the city-state combo). |
| Phone | Primary phone. Click to start a phone call from your device. |
| Sales Rep | The sales rep who owns the account. |
| Status | A colored status box at the end of the row reflecting the customer's current state. |
Optional columns (shown only if your company has enabled them in company settings):
- Account Number
- Business Name
- MMR (Monthly Monitoring Rate — the recurring amount charged to the customer)
- Tags
- Install Technician
- Credit Grade
- Created Date
- Source (the company, channel, or referral path that brought the customer in; configured by admins under Sources)
Ask your administrator if you're unsure which columns your company has turned on.
Opening a customer
Click the customer's name or city/state address on any row to open the full Home page for that customer. The phone number starts a call from your device when supported. From the customer record you have tabs for every area — notes, equipment, appointments, accounting, and so on.
Previewing a customer
Rows can also show a small preview eye next to the customer name. Click it when you want a quick look without leaving the list. SecurityTrax opens a side panel with the customer's ID, name, created date, location, city/state, tags, warnings, contact details, and quick sale/install context when your permissions allow those sections.
The preview only loads after you click the eye, so the customer list stays fast even when many rows are visible. To work on the record, click the customer name or open the full Home page from the preview.
Creating a new customer
Two paths, depending on how your company has SecurityTrax set up:
- Plain form. Click + New Customer. You land on the standard full edit form. Good when you want full control, from scratch.
- Workflow-driven. Click the small ▼ next to New Customer and pick a workflow from the "New from Workflow" menu. The workflow version guides you through a set of steps tailored to your company's standard intake, often with fewer fields per screen and built-in validation. Great for new employees who haven't memorized the full form yet. If you realize you chose the wrong path before saving, use the same + New Customer split button at the top of the create page to pick another path. See Home → Creating a new customer for details on both paths.
If your company uses ADT monitoring, both paths can show an ADT PreCheck section before the regular customer fields. See Home → ADT PreCheck during customer creation.
Tips
Tip. The ⌘ + K / Ctrl + K command palette is often faster than the filter flyout for a single lookup. Type a name, phone, account number, or ID and press Enter. Use the flyout when you need a filtered view to scroll through, not just one record.
