Leads
Requires.
- Leads with View on at least one location to see the list.
- Leads with Create to use + New Lead.
A lead is a prospective customer — someone who has shown interest but hasn't signed a contract yet. They don't have a location assignment or a monitoring connection, and they're sold to by a sales rep called a lead rep. Once converted to a customer (see Home → Converting a lead to a customer), the lead record becomes a full customer record and the lead-specific fields go away.
The Leads page is the company-wide list of active leads. Where My Assigned Leads shows only the leads routed to you, this page is every lead across every rep.
Getting here
- Click the Leads icon in the top navigation bar.
- Or navigate directly to
https://portal.securitytrax.com/{your-company}/leads.
Browse mode vs. search mode
Some companies configure the leads list to hide the results until you search. The underlying setting is do_not_show_customer_list; when enabled, landing on the Leads page shows only the filter flyout with no rows until you submit criteria. If you land on an empty page and the filter flyout is open, that's why — enter some search criteria (even just leaving everything blank and clicking Submit) to populate the list.
Most companies have the setting off, so the list shows up immediately with the default sort.
Filters
Click the filter icon to open the Find Leads flyout.
Section 1: Sort and pagination (sticky)
| Field | Type | Notes |
|---|---|---|
| Sort by | Dropdown | ID, Name, Address, Email. Defaults to your company's configured preferred list order. |
| Per page | Dropdown | 10, 25, 50. Default: 25. |
Section 2: Search fields
| Field | Type | Notes |
|---|---|---|
| Search by ID, account number, phone, or SSN | Number | Single numeric input that searches ID, account number, primary phone, and encrypted SSN simultaneously. Placeholder: "Numbers only...". |
| First Name | Text | Partial match. |
| Last Name | Text | Partial match. |
| Text | Partial match on primary email. |
Section 3: Source & campaign
| Field | Type | Notes |
|---|---|---|
| Source | Multi-select pillbox | Filter by one or more sources (the company, channel, or referral path that brought the lead in). Searchable. |
| Source Campaign | Multi-select pillbox | Filter by one or more source campaigns. When a single source is selected, options narrow to that source's campaigns; when multiple (or no) sources are selected, all campaigns are shown with the source name prefixed. Changing the selected sources automatically removes any campaigns that no longer belong to the selection. |
Section 4: Tags
| Field | Type | Notes |
|---|---|---|
| Tags Operator | Dropdown | Controls how selected tags are matched: Has any of (default), Has all of, Does not have any of, Does not have all of. |
| Tags | Multi-select pillbox | Pick one or more tags to filter by. Searchable. Results are filtered according to the operator above. |
Click Submit to apply; Clear removes everything except your current sort and per-page setting. Filters persist in the URL so you can bookmark or share a filtered view.
Columns (desktop)
On wider screens the list renders as a table with these columns:
| Column | What it shows |
|---|---|
| ID | The lead's internal ID. |
| Entered Date | When the lead was created (formatted). |
| Name | Last-name-first. Click to open. |
| Address | City — often linked to city/state view. |
| Phone | Primary phone. |
| Status | The lead's status (e.g. "Active", "Hot", "Cold"). |
| Source | Campaign | Two values in one column: Source first, then Campaign. Source values come from active source records marked Sells Leads or Sells Customers; Campaign values come from the selected source's Source Campaigns page. |
Sortable columns: ID, Name, Address, created date.
On mobile, each lead renders as a card with the lead name, phone, city/state, Source, and callback date when present.
Opening a lead
Click the Name to open the full lead record. The lead record looks similar to a customer record but with fewer tabs — no Connections (they're not monitored yet) and limited accounting activity. It lives on the same Home page URL as customers, just with lead-specific fields and cards visible.
Previewing a lead
Rows can also show a small preview eye next to the lead name. Click it when you want a quick look without leaving the list. SecurityTrax opens a side panel with the lead's ID, name, entered date, city/state, tags, warnings, phone, lead status, assigned lead rep, source, campaign, callback context, and latest interaction when your permissions allow those sections.
The preview only loads after you click the eye, so the lead list stays fast even when many rows are visible. To work on the record, click the lead name or open the full Home page from the preview.
Creating a new lead
Click + New Lead in the top-right of the page. What happens next depends on whether your company has configured any lead creation workflows.
Plain form (default)
If there's no workflow picker shown, clicking + New Lead opens the standard lead create form directly.
Workflow-driven form
If your company has workflow variants configured for lead intake, the + New Lead button becomes a split button: the main button runs the plain form, but a small ▼ next to it opens a menu listing the available workflows. Picking a workflow runs a version of the lead create form with that workflow's configured fields.
Workflow-driven lead creation is opt-in per workflow. Only active lead-create workflows that are accessible to your role show up. Customer-create workflows do not appear on the lead picker.
Step-by-step: creating a lead via a workflow
- Click the ▼ next to + New Lead to open the "New from workflow" menu.
- Pick the workflow that matches your intake scenario (e.g. "Web Form Callback", "Trade Show Capture").
- The create form renders with the workflow's configured fields — often a reduced set, plus any custom fields (UDFs) the workflow wants captured up-front.
- Fill in required fields (marked Required): Source, First Name, Last Name, Primary Phone, Status, City, and State. Plus any workflow-required UDFs.
- As you type in Zip, SecurityTrax looks up the address and suggests a City/State combination — pick a suggestion to auto-fill.
- Click Save.
- On success, SecurityTrax creates the lead and redirects you to its Home page.

With no state, it must be a 5-digit US ZIP or a Canadian postal code. Short or malformed values like 22 are rejected. |

Converting a lead to a customer
You don't convert from the list — converting happens from the lead's Home page. See Home → Converting a lead to a customer for the full conversion walkthrough.
Non-obvious behaviors
- Numeric-search SSN match. The numeric search field can match on encrypted SSN values by decrypting them server-side and comparing. Partial matches don't work on SSN — it's exact-last-X-digits only.
- Workflow picker filter. The workflows that appear on the split-button dropdown are filtered to lead-create workflows with at least one configured custom field for the first step. A workflow configured for customers (not leads) never appears here.
- "Do not show customer list" is company-wide. Your company either has browse-mode-on-load or search-required-first — it's not per-user.
