Physical Inventory

Requires.

  • Enhanced Inventory enabled, and
  • Inventory Management / Assignments permission anywhere.

Physical Inventory is the formal audit flow. Select one recipient, enter the actual counts in front of you for the equipment items you reviewed, and SecurityTrax compares those numbers against what it expects. Any differences become reconciling transactions so the numbers line back up.

When to run it

  • Quarterly / annually, as required by your operations cadence.
  • After a known shake-up — a tech leaving the company, a location move, a warehouse cleanout.
  • When the ledger and on-hand numbers diverge and you can't trace the cause from individual transactions alone.

The flow

  1. Choose a Recipient.
  2. Check the equipment rows you physically counted.
  3. Enter the actual Quantity for each checked row.
  4. Click Submit Counts to review warnings and discrepancies.
  5. Click Submit Physical Inventory to save the count. SecurityTrax writes adjusting transactions into the Inventory Ledger. On-hand counts immediately reflect your counted values.
  6. After submitting, a success summary replaces the count table, listing any adjustments SecurityTrax recorded. Select another recipient to begin their count, or click New Count to count the same recipient again.

A note on warnings

If you have items where your reported quantity differs from the system's quantity, the review step shows them in red. You can either go back and re-count (recommended) or accept the discrepancy and continue. Either way the audit is logged so you can trace what happened later.
