Employee Directory

Requires. Your company must have the employee directory enabled, and your user account must have Employee Directory Access set to Everyone, Shared Location(s), or Reports To Hierarchy Descendants.

The Employee Directory is a searchable list of employees you are allowed to see. Use it to look up phone numbers, email addresses, titles, reporting relationships, and to send messages to selected employees.

Getting here

  1. Open the user menu from your avatar in the top-right corner.
  2. Click Employee Directory.

You can also go directly to https://portal.securitytrax.com/acme/employee-directory, replacing acme with your company profile.

If you do not see Employee Directory in the user menu, either the feature is not enabled for your company or your user account does not have Employee Directory Access.

Who appears in the directory

SecurityTrax only shows active users who are included in the employee directory. Your own access level controls which of those users you can see.

Employee Directory Access What you can see
Everyone All active directory users.
Shared Location(s) Active directory users assigned to at least one of your locations.
Reports To Hierarchy Descendants Active directory users in your reports-to hierarchy branch.
None The Employee Directory link is hidden and the page is unavailable.

Filters

Click Filter to open the Filter Employee Directory flyout.

Field Type Notes
Sort By Select Defaults to Name (Ascending). Sort by Name, ID, Email, or Title. Each option supports ascending or descending order. The active sorted column shows an up or down chevron in the table header.
Search Field Select Choose Last name, First name, Email, or ID.
Search Text Matches from the beginning of the selected field. For example, searching last name Doe finds names that start with Doe.
Sales Rep At Select Choose Anywhere or a specific office location to show users flagged as sales reps.
Tech At Select Choose Anywhere or a specific office location to show users flagged as techs.
Title Select Filters by the user's organizational hierarchy title.
Reports To Is Like Text Matches users whose immediate reports-to person has a first or last name that starts with the text you enter.

Click Submit to apply the filters. When filters are active, Clear appears next to the Filter button and in the flyout footer. Click Clear to remove active filters but keep your current sort order.

Columns

The employee list shows one row per visible directory user.

Column What it shows
ID The user's internal ID.
(avatar) The user's profile photo, or a default user icon.
Name The user's last-name-first display name.
Cell The user's cell phone number, unless their cell phone is marked private. If you can send SMS messages, a plus button appears beside valid cell numbers.
Home The user's home phone number, unless their home phone is marked private.
Work The user's work phone number, unless their work phone is marked private.
Email The user's email address as a mailto: link. A plus button appears beside valid email addresses.
Title The user's organizational hierarchy title.
Reports To The user's immediate reports-to person in the organizational hierarchy.

Sending email

Email messaging is available from the Employee Directory when a visible user has an email address.

To send an email:

  1. Click the plus button in the Email column for each recipient you want to include.
  2. Or click Add Visible Email Recipients to add every visible row with an email address.
  3. In the Send Email card, enter a Subject.
  4. Enter the Message body.
  5. Click Send.

SecurityTrax sends the message using your email address as the sender and sends recipients as blind carbon copy (BCC).

Sending SMS

SMS messaging is available only if your user account has Can SMS Users enabled. If you do not have that setting, SMS buttons are hidden and SMS sending is blocked.

To send an SMS:

  1. Click the plus button in the Cell column for each recipient you want to include.
  2. Or click Add Visible SMS Recipients to add every visible row with a non-private cell phone number.
  3. In the Send SMS card, enter the Message body.
  4. Click Send.

SecurityTrax skips users whose cell phone is private or blank.

Privacy rules

Employee Directory follows the same phone privacy rules used on user profiles:

  • Private cell phone numbers are hidden and cannot be selected for SMS.
  • Private home phone numbers are hidden.
  • Private work phone numbers are hidden.
  • Email addresses are shown when present.
