Pending Equipment Detail
The Pending Equipment Detail page is the working screen for one Purchase Requisition, one Purchase Order, or one Spillage report. You land here by clicking an ID link from either the Purchase Requisitions & Orders page or the Spillage page. The controls on the page depend on what kind of document you opened — three very similar layouts, tuned for what's possible with each type.
Common elements
Every variant shares:
- A back-arrow breadcrumb on the top-left — returns you to the list you came from, with its status filter preserved (e.g., back to "POs → Open").
- A heading showing the ID badge, the document title (e.g. "Purchase Order — 4312"), and a fulfillment-status badge (Open, Partially Fulfilled, Fulfilled, Submitted, Closed, Locked).
- A line-items table underneath — the central list of equipment tied to the document.
The action buttons and table columns differ per type, so the three are described separately below.
Purchase Requisition (PR)
A PR is yours to edit until you submit it. The detail page is built for adding line items, removing them, submitting the PR for approval, and deleting it if you change your mind.
Columns

| Ordered | The running progress as "N of M" (e.g. "0 of 3") — how many units have been fulfilled out of what was requested. For a not-yet-approved PR, this is always 0 of N. |
| Equipment | The equipment name. Comments you added during item creation appear below the name in a bordered block. |
| (unlabeled) | A small trash icon to remove the line item — only visible while the PR is Open (not yet submitted). |
Actions (PR is Open)
At the bottom of the page you'll see:
- Add Equipment (left) — opens the add-line-item modal.
- Delete (ghost-style, red text; only shown if the PR has zero items) — opens the delete-confirmation modal.
- Submit for Approval (primary, only shown if the PR has at least one item) — opens the submit-confirmation modal.
Adding a line item — step by step
- Click Add Equipment. A modal opens with the heading "Add Equipment".
- Pick an item from the Equipment searchable dropdown.
- Enter Quantity (a whole number).
- Optionally add Comments — notes about why you need the item, special instructions, or a customer reference.
- Click Save. The line item appears in the table. Click Add Equipment again to add another.
Submitting the PR — step by step
- With at least one item on the PR, click Submit for Approval. A confirmation modal opens.
- Read the note: "Once submitted, you cannot make changes."
- Click Submit to confirm, or Cancel to back out.
On submit, the PR's status changes to Submitted and the trash icons disappear — you're locked out of further edits. The PR now appears in the Submitted filter for you, and in Company Inventory → Purchase Requisitions for whoever reviews PRs.
Deleting a PR
You can only delete a PR while it's Open and has zero line items. Click the red ghost Delete button at the bottom, confirm "Are you sure?", and the PR is gone.
Purchase Order (PO)
A PO is read-mostly — you don't edit line items on a PO (those were fixed when the PR was approved). The detail page is about receiving the equipment as it arrives.

Actions
- Receive All button (shown in the last table row while the PO isn't fully fulfilled) — opens a modal that lets you receive every outstanding item in one confirmation.
Receiving a single line item — step by step
- Click the "N of M" button in the Received column for the line item you're receiving.
- A modal opens with the heading "Receive Equipment" and an explanation.
- If the item still has outstanding quantity, a Quantity Just Received dropdown appears with options from
1up to the outstanding amount (i.e. you can't receive more than was ordered). - Pick the quantity you're receiving right now.
- Click Save.
SecurityTrax credits that quantity to your on-hand count and updates the PO's Received number. If it's now fully received, the button changes style.
Receive All — step by step
- Click Receive All at the bottom of the line-items table. A modal opens with the heading "Receive All Equipment" and a preview list of everything outstanding (quantity badge + equipment name, one per line).
- Review the list to make sure it matches what's physically in front of you.
- Click Receive All inside the preview modal.
- A second confirmation modal opens: "By proceeding, you confirm that you have reviewed all received equipment and verified that it matches the outstanding items listed on the purchase order. This action cannot be undone."
- Click Continue to finalize, or Cancel to back out.
After confirming, every line item is marked fully fulfilled, the PO's status becomes Fulfilled, and your on-hand counts go up accordingly.
Warning. Receive All is not reversible. If a box was short and you click Receive All anyway, you'll have to correct it with a Spillage entry after the fact. Always verify the preview list matches the physical shipment before confirming.
Spillage report
A Spillage report is a list of equipment you're losing or returning, with a reason for each. It behaves like a PR in structure — editable while Open, locked once your inventory manager has reviewed it.
Columns

Actions (report is Open)

There's no "Submit" button on spillage reports — your inventory team reviews them directly from their admin queue and either accepts the loss (which closes the report) or pushes it back.
Adding a spillage line item — step by step
- Click Add Equipment. The modal opens.
- Pick the Equipment item (searchable).
- Pick the Return Reason (damaged, lost, defective, customer returned, etc.). These are defined by your admin.
- Enter Quantity.
- Optionally add Comments — describe what happened.
- Click Save.

Documents move through statuses based on what's happened to them:
